CRM task management is the practice of creating, assigning, and tracking action items directly within the context of your customer relationships. Unlike standalone task management tools such as Asana, Todoist, or Monday, tasks in a CRM are linked to contacts, deals, and organizations. Every follow-up call, proposal deadline, document request, or internal review is tied to the relationship it serves.
Without integrated task management, teams rely on separate apps, sticky notes, or memory. Follow-ups get missed, handoffs between reps create information gaps, and managers lose visibility into workload distribution. A CRM with built-in task management solves these problems by making tasks a natural part of the customer workflow.
Effective CRM task management means that work stays connected to the customer record it serves. The task, its assignees, its notes, and its related records remain available in one place instead of being scattered across separate lists.
Customermates models tasks as first-class CRM records. Core task management is available on Starter and tasks can be linked to contacts, organizations, deals, and services. External AI clients connected through MCP can create, read, update, assign, and relate those task records.
Task creation and assignment. Create a named task, add notes, assign one or more users, and relate it to the CRM records that provide its context. The global task view keeps those records searchable and filterable.
Linked to contacts, deals, and organizations. Every task can be linked to one or more contacts, organizations, or deals. When you view a contact, you see all related tasks. When you view a deal, you see what needs to happen to move it forward. This bidirectional connection keeps full context intact across your entire CRM.
Typed custom fields. Tasks support the same custom-column system as other CRM records. Add a single-select column for a priority or workflow category, a date column for a target date, or another field type that matches your process.
Dates without a hidden scheduler. Customermates has no built-in task due-date, reminder, or overdue-notification engine. If your process needs a target date, add a date custom column and filter or sort on it. A customer-run automation can read that field and send reminders through an external service.
Recurring work through external automation. There is no native recurring-task scheduler. Your own n8n instance or another integration can create task records on a schedule through the REST API or MCP.
Kanban board view. Add a single-select custom column and group tasks by that field in the Kanban view. Dragging a task between columns updates the selected value, so you can model a lightweight workflow without claiming a built-in task status.
Table view with filters. The global task view supports search, filtering, sorting, pagination, and custom columns. Each user can save their own view configuration; saved views are not shared between users.
Relations keep the context. A task can point to contacts, organizations, deals, and services, and those records expose their related tasks. Team members can move between the work item and its customer context without duplicating either record.
Responsive web access. Use the task view from a supported mobile browser through the responsive web interface. Customermates does not ship a native mobile app, offline record mode, or mobile push notifications.
Automated task creation with your own n8n. n8n is a separate community integration, not an embedded Customermates service. A workflow you operate can react to CRM events and create or update tasks through the community node or REST API.
Deal progression tasks. Relate action items to the relevant deal and assign the people responsible. If you want tasks generated from a stage change, configure that logic in a customer-run automation.
Follow-up work after meetings. Create a related task for the next action and add a custom date field if your team needs a target date. Native reminders are not included; an external workflow can deliver them.
Onboarding new customers. Keep onboarding action items linked to the won deal and customer records. Teams that need an automatically generated checklist can build it in their own n8n workflow.
Team workload review. Filter task records by assigned user and reassign work when responsibilities change. Custom columns can capture the categories your team wants to group or report on.
Cross-department handoffs. Assign tasks to the receiving team and relate them to the deal, contacts, and organization. The relationship links preserve context; automatic generation requires an external workflow.
Context-rich task tracking. Every task is connected to the contacts and deals it relates to. Team members never need to search for context because it is visible on the task and on the related records.
Team accountability and visibility. Permissions determine who can read or manage tasks, while assignments and filters make responsibility visible. Custom fields let the company model the additional dimensions it needs.
External workflow tasks. Customer-run n8n workflows can create tasks with assignees, relations, notes, and custom-field values when CRM events occur.
Flexible views for different work styles. Table, card, and Kanban views let each user organize tasks around their own saved configuration. There is no task calendar view.
Reduced tool sprawl. Managing tasks inside your CRM eliminates the need for separate task management apps. Fewer tools means fewer context switches, less duplicate data entry, and simpler onboarding for new hires.
Integration-ready records. REST, webhooks, MCP, and the external n8n community node provide building blocks for workflows that the core task model does not schedule itself.
Integrated, not bolted on. Task management in Customermates is deeply connected to contacts, deals, and pipelines. Tasks are first-class objects visible everywhere they are relevant, not a sidebar feature with loose links.
Core tasks from the entry tier. Task records, relations, assignments, custom columns, filters, and data views are part of the core CRM on Starter. Recurrence and reminder delivery remain external workflow concerns.
Open-source flexibility. Customermates is open source, so you can customize the task management system to fit your exact needs. Add custom fields, modify workflows, extend the API, or build integrations with external tools.
A clear deployment choice. The managed service uses a database in an EU region and documented subprocessors. Self-hosted teams choose and operate their own infrastructure and remain responsible for that deployment.
n8n integration without bundling n8n. REST and webhook access can drive workflows in an n8n instance you operate. Customermates does not include an n8n runtime or subscription.
Self-hostable for infrastructure control. Deploy the core CRM on your own infrastructure. Any external automation service, including n8n, is deployed and governed separately.
Start by creating task records, assigning teammates, and linking the relevant contacts, organizations, deals, or services. Add custom fields for the workflow dimensions you need, then connect an external automation only if your process calls for scheduling or reminders.
