CRM Outlook integration connects Microsoft Outlook with your customer relationship management system, creating a seamless bridge between your email inbox, calendar, and CRM data. It allows your team to manage customer relationships from within Outlook while ensuring that every communication is captured in the CRM for the entire team to access.
Email remains the primary B2B communication channel. Your sales team sends dozens of emails to prospects and customers every day through Outlook. Without CRM integration, these conversations exist only in individual inboxes, invisible to the rest of the team and disconnected from the deal and contact records where they belong. When someone is out sick, on vacation, or leaves the company, their email context leaves with them.
Outlook integration reduces this problem by bringing supported email into the CRM and matching conversations to relevant records. Connected calendar events can be displayed read-only. Customermates does not synchronize Outlook contacts or create, edit, or book provider calendar events.
Customermates connects supported Microsoft Outlook 365 email to the unified inbox beside LinkedIn, WhatsApp, Instagram, and Telegram. A supported external AI client can read allowed thread context and draft an individual reply through MCP. Email and a read-only view of the connected calendar start with Pro (€29/user/month); Starter (€12/user/month) covers core CRM without a connected mailbox. Any n8n workflow runs separately.
Step 1: Connect your Outlook account. Navigate to Settings in Customermates, select Email Integration, and sign in with your Microsoft 365 credentials using secure OAuth authentication. No IT department involvement needed, no Outlook plugins to install.
Step 2: Configure your email connection. Choose supported email synchronization settings for the connected account. Calendar data is exposed read-only where supported, and there is no Outlook contact-sync direction or calendar-write setting in Customermates.
Step 3: Start working. Emails begin syncing immediately. Every email you send to or receive from a CRM contact appears on their timeline. Calendar events with CRM contacts show up on their activity record. Your team works in Outlook as usual while the CRM organizes everything automatically.
Bidirectional email sync captures both sent and received emails. When you send an email to a prospect from Outlook, it appears on their CRM timeline within seconds. When they reply, the response is logged automatically. The complete email thread lives on the CRM record for your entire team to see, not just the person who sent it.
Customermates matches emails by checking sender and recipient addresses against your contact database. Matching is automatic and accurate. If the sender is not yet in your CRM, you can create a new contact directly from the email with one click.
Read supported events from the connected Outlook calendar in CRM context. Meetings created in Outlook may appear on the relevant activity timeline, but Customermates does not create, edit, book, delete, or synchronize events back to Outlook.
Meeting history becomes part of the CRM record. Managers can see meeting frequency and recency for every contact, helping them understand relationship health and identify accounts that need attention.
Supported email conversations can be matched to CRM contacts by address. Outlook address-book contacts are not synchronized in either direction; create or update CRM contacts through the product's supported record interfaces instead.
Automatic email logging. Every email to and from CRM contacts is logged on the correct record automatically. No manual forwarding, no BCC addresses, and no remembering to log conversations. The CRM captures everything so your team can focus on selling.
Email timeline on every record. Contact, organization, and deal records display the complete email history chronologically alongside calls, notes, tasks, and meetings. One screen gives you the full picture of every customer interaction.
AI-drafted replies through external clients. Supported clients such as Claude, ChatGPT, or Gemini can use MCP to read allowed thread context and draft one reply for approval. Customermates includes neither the AI client nor its model, subscription, or usage.
One inbox across channels. Outlook email sits in the same unified inbox as LinkedIn, WhatsApp, Instagram, and Telegram, so your team answers every channel from one place inside the CRM instead of switching apps.
Shared mailbox support. Included from the Business tier at €69 per user per month. Connect shared team mailboxes so that emails to sales@ or support@ addresses are logged on the appropriate contact records, with multiple team members seeing the same thread without requiring access to each other's personal inboxes.
Separate n8n workflows for advanced automation. A separately operated n8n instance can use documented interfaces and external providers for workflows beyond the native email and read-only calendar surface:
No email context ever lost. Every customer email is captured in the CRM, accessible to the entire team. When a colleague is out, another team member picks up the conversation with full context. When a deal is reassigned, the incoming owner sees every email from day one.
Work from your inbox. Your team does not need to switch to the CRM to log emails or look up contact details. Outlook integration brings CRM awareness to the application they already spend most of their day in. The CRM works invisibly in the background.
Recorded interaction history. Supported emails and read-only meetings from Outlook join notes, tasks, calls, and deal activities on a unified CRM timeline. Outlook contacts are not synchronized, and only activity that the connected surfaces record appears here.
Contact context without address-book sync. Email matching keeps supported conversations with CRM context. Outlook contacts do not synchronize to or from Customermates, so address-book updates remain in the owning system.
Supported email context. Connected email conversations can appear in the unified inbox and calendar data can be viewed read-only. Customermates does not capture every Outlook object, synchronize contacts, or write provider calendar events.
Faster deal cycles. Teams with CRM email integration consistently report shorter sales cycles because follow-ups happen on time, context is never lost, and handoffs are seamless.
Sales email tracking. Log all emails between your sales team and prospects on the corresponding deal records. When reviewing a deal, the sales manager sees the complete email thread alongside pipeline activities and notes.
Read-only meeting context. Supported meetings from a connected Outlook calendar can appear read-only in CRM context. Meeting-frequency or relationship-health calculations are not native product features.
Lead capture from email. A customer-run workflow can use supported email data to create a CRM contact through REST and apply its own routing rules. Customermates has no native lead-routing or Outlook contact-sync engine.
Follow-up scheduling. After sending a proposal email, a separate workflow can create a follow-up task linked to the email thread. Store the follow-up date in a custom field; a separately operated n8n workflow can evaluate it and send a notification through an external provider. Customermates has no native reminder engine.
Out-of-office continuity. When a team member is on vacation, their complete email history with every contact is available in the CRM. Colleagues pick up conversations seamlessly without needing access to the individual's Outlook mailbox.
Email-triggered deal updates. A separate n8n workflow can evaluate available email events and call supported CRM operations. Its classification logic, Outlook access, runtime, credentials, logs, limits, and delivery remain external.
No plugins, no add-ins. Customermates connects to Outlook 365 through secure server-side OAuth integration. There is nothing to install in Outlook, no browser extensions, and no desktop plugins that need updating. Setup takes under two minutes.
Open source and transparent. The integration code is open source. You can inspect exactly how your email data is handled, processed, and stored. No proprietary plugins with unknown data handling practices.
EU database region with documented providers. The hosted database runs in an EU region. Application hosting and connected messaging providers, including US providers, may process data elsewhere; this is a deployment fact, not a GDPR or other compliance certification.
Simple, fair pricing. Supported Outlook email and read-only calendar data start with Pro at €29 per user per month. Connected-account and shared-account availability follows the published plan limits.
Separate n8n for custom workflows. Connect an n8n instance you operate through REST, webhooks, MCP, or the community node. Its scheduling, logic, provider credentials, plan, limits, logs, and costs remain outside Customermates.
Self-hosted core CRM. Self-hosting runs the application and PostgreSQL database on your infrastructure with Starter entitlements. It does not include the cloud unified inbox, Outlook email connection, or calendar view; external providers remain separate.
Does it work with Outlook desktop or only Outlook 365? Customermates integrates with Microsoft Outlook 365 (Microsoft 365) through server-side sync. This covers Outlook on the web, Outlook desktop connected to a Microsoft 365 account, and the Outlook mobile app. On-premise Exchange servers are supported through IMAP configuration.
Do I need to install an Outlook plugin? No. The integration works through server-side OAuth authentication. There is nothing to install in Outlook, no browser extensions, and no add-ins that need maintenance.
Can I choose which emails are synced? Yes. You can sync all emails, only emails matching existing CRM contacts, or specific Outlook folders. You have full control over which communications enter the CRM.
Is calendar sync bidirectional? No. Supported events from the connected Outlook calendar are read-only in Customermates. The CRM does not create, edit, book, delete, or synchronize events back to Outlook.
Can multiple team members connect their Outlook accounts? Yes. Each team member connects their own Outlook account. Emails from all connected accounts are logged on the shared CRM contact records, giving the entire team visibility into all customer communications.
Where is hosted data processed? The managed database runs in an EU region. Application hosting and connected providers may process data elsewhere, including through US providers; self-hosted Starter does not include this cloud email integration.
