Customermates gives teams ordinary CRM tasks and relationship context. A task has a type, name, notes, assignee, and links to contacts, organizations, deals, or services. It appears in the task views and can also be created or updated through the REST API and MCP tools.
The current Task model has no built-in due-date field, reminder schedule, overdue state, or notification transport. Customermates therefore does not claim that it will wake up later and remind a user on its own. If a workflow needs dates, store the relevant date in a custom field on the related CRM record and let a separately operated scheduler decide when to act.
Customermates provides two mechanisms for managing follow-ups: tasks linked to the record, with a due-date column you define, and webhooks that drive multi-channel sequences in your own n8n instance. There is no built-in reminder that notifies you on its own.
Task-based follow-ups. Create a task linked to a contact or deal, add the subject and assignee, and store any follow-up date or priority in custom fields your team defines. Customermates has no native task due date, overdue state, deadline, or priority; filtering and external workflows can use stored values.
Externally triggered reminders. A separate workflow can evaluate recorded activity or customer-defined dates through the API or webhooks, then create a supported task or send a notification through an external provider. Customermates itself does not monitor inactivity or send reminder notifications.
External multi-channel workflows. Use a separate n8n instance and delivery providers to orchestrate a customer-defined cadence. The native inbox supports individual messages on email, LinkedIn, WhatsApp, Instagram, and Telegram, but Customermates has no sequence engine, bulk outreach, or telephony.
Behavior-based external triggers. A separate email or analytics provider can emit engagement events, and a customer-run workflow can request an individual follow-up while interest is fresh. Customermates has no native email-open, web-visit, or behavior-trigger sequence engine.
Recorded follow-up context. Supported messages, notes, and task changes remain with relevant CRM context where they are recorded. Review that history before reaching out again; do not assume activity from every external channel or workflow is captured automatically.
Team follow-up context. Team members can review linked tasks and filter on stored custom values. Native tasks do not have due or overdue states, and saved views are personal rather than shared team views.
Calendar and email context. Read supported calendar data and work with individual email conversations in the unified inbox. Calendar access is read-only, and Customermates does not schedule follow-up emails or create bookings.
External follow-up sequences balance persistence with relevance. Here are principles to apply in the separate campaign or delivery provider that runs them.
An agent can help decide and record the next action, but its availability is not a reminder service. A durable scheduled action still needs an external scheduler.
Personalize external outreach by segment. A separate campaign provider can vary its sequence for a VP of Engineering or Head of Marketing. Store persona, pain point, and buying stage in custom fields; Customermates itself sends individual messages rather than sequences.
Tasks, custom fields, webhooks, REST API access, and MCP are part of the core CRM from Starter at €12 per user per month. The connected unified inbox begins on Pro at €29 per user per month. Business at €69 per user per month increases connected-account capacity and supports shared accounts.
The community self-hosted build includes the core task, API, webhook, and MCP capabilities. It does not include a bundled n8n container or the Enterprise Edition unified inbox. Run any automation service separately and secure its credentials and network access yourself.
Test and iterate. Track open rates, response rates, and conversion rates in the external sequence provider. A/B test subject lines, timing, and message content there, then use the results to refine your approach.
No. The current Task model has no due-date or reminder field and does not schedule notifications.
Make follow-up gaps visible. Store a next-action date in a custom field and review it in a filtered view. A separately operated scheduler can evaluate that field and send a notification through an external provider; Customermates sends no native reminder or inactivity alert.
Yes, through a customer-run automation service. Use webhooks and APIs to observe record changes, keep dates in custom fields, create tasks, or call a messaging service. Customermates itself does not run the timer.
Reduced reliance on individual memory. Linked tasks and custom fields let sales teams record what should happen, when, and for whom. The CRM stores those values; a person or customer-run workflow decides when action is required.
Recorded follow-up context. Supported messages, notes, and task changes retain timestamps and user context where the product records them. Use that context for coaching and process review, not as a complete audit or compliance record.
Scale with external outreach tools. As your team and pipeline grow, Customermates keeps individual CRM context while a separate campaign or sequence provider runs automated or bulk outreach under its own limits and safeguards.
No. The managed connected-account calendar is a read-only CRM view.
New lead follow-up sequence. A customer-run external workflow can start a timed cadence in separate channel providers: day 1 email, day 3 call action, day 5 LinkedIn step, day 7 value-add email, day 14 final outreach. Customermates stores only supported CRM records and individual messages.
Post-meeting follow-up. A customer-run workflow can create a supported follow-up task after a documented event and write the next-action date to a custom field. Reminder delivery and meeting scheduling remain in external providers.
Re-engagement campaigns. A customer-run external workflow can evaluate recorded activity after 30, 60, or 90 days and ask a separate campaign provider to start a re-engagement sequence. Customermates does not monitor inactivity or send the touchpoints.
Customer success check-ins. Store quarterly, annual, or renewal dates in custom fields. A customer-run external scheduler can evaluate those values and deliver reminders through a separate provider; Customermates itself does not schedule them.
Stale deal recovery. A customer-run external workflow can evaluate recorded deal activity, notify the owner through a separate provider, and create a supported recovery task. Customermates has no native inactivity timer or escalation engine.
Post-purchase onboarding. A customer-run external workflow can ask a separate delivery provider to run an onboarding sequence after a deal closes. The provider owns timing and delivery; Customermates stores supported deal, task, and message context.
Open-source core. The AGPL core CRM application and linked-task model are inspectable. Reminder scheduling, sequences, delivery providers, external AI clients, and n8n workflows remain separate systems with their own code and terms.
EU database region with documented providers. The hosted database runs in an EU region. Application hosting and connected providers, including US providers, may process data elsewhere; this is a deployment fact, not a GDPR or other compliance certification.
Simple, fair CRM pricing. Core CRM records and linked tasks start at €12 per user per month; the unified inbox starts with Pro at €29. Native reminders, sequences, and per-sequence delivery are not included. A separate n8n instance and delivery providers have their own plans, limits, and costs.
External AI clients draft individual follow-ups. Supported clients such as Claude, ChatGPT, or Gemini can use 46 MCP tools to read allowed context, draft one message, and send where permitted on a messaging tier. Customermates includes no AI client, model, subscription, or autonomous result.
Separate n8n for advanced sequences. Connect your own n8n instance through REST, webhooks, MCP, or the community node. Multi-step timing, conditions, and external delivery run there, not in Customermates; the n8n plan, connectors, logs, limits, and costs remain separate.
Self-hostable application and database. Run the Customermates application and PostgreSQL database on your infrastructure. Connected workflow, AI, and messaging providers still receive the data your configuration sends.
