Trash
Deleted records, lists, fields, views, widgets, routines and pages wait 30 days in Trash, where you restore them or delete them permanently.
Deleting in Customermates moves the item to Trash instead of removing it at once. Right after a delete, a message with Undo appears for a few seconds; Undo brings the item back immediately. A large delete runs in the background: the message shows Moving to Trash… and offers Undo once it is done. After that, the item waits in Trash for 30 days and is then deleted permanently by itself.
What goes to Trash?
- Records of every list, for example Contacts. Rows of a sub-list and the record's links go with their record and come back with it.
- Lists, fields, relationships and Channels fields deleted in Configure.
- Saved views, dashboard views and dashboard widgets.
- Routines and Knowledge Base pages.
Members, invitations, roles, API keys, webhooks and connected accounts are not moved to Trash: deleting them changes access, so it takes effect immediately.
While an item is in Trash it is gone everywhere else: lists, search, totals and calculations, widgets, filters, exports, Mate, the API and MCP no longer see it, and routines and webhooks do not fire for it.
Who sees what in Trash?
Everyone finds Trash in the sidebar. You see the items you could see and delete: records and configuration you may delete, Knowledge Base pages if your role may delete them, routines if you have the Admin role, and your own saved views and widgets, which stay personal in Trash too. Each row shows the item, its kind, who deleted it, when, and how many days are left before it is deleted permanently. In Filter, search for items and narrow them by kind or list.
How do I restore a deleted item?
Open Trash, hover the row and click Restore, or select several rows and click Restore in the selection bar. Restoring needs the same access as deleting did. A restored record comes back with its values, links and sub-list rows. A link to a record that was deleted permanently in the meantime cannot come back; the message after restoring says how many links were dropped. A large restore runs in the background: the record shows Restoring… until it is done. A record whose list is itself in Trash can be restored only after its list, and a routine stays in Trash while its owner already has all the routines their plan includes.
If another workspace change holds the write lock, restore returns a busy response after about five seconds without changing the Trash item. Try again after that change finishes.
Deleting a field in Configure removes saved-view filters, columns, sorts and grouping that use it. The delete preview and result name the affected views and widgets. Restoring the field does not recreate those settings. If you restore a saved view after its field was deleted, droppedViewReferences reports what was removed; the Trash message shows the counts. Recreate the settings after restoring the field.
Opening a deleted record from Trash shows it read only with the banner In Trash and a Restore button; its Activities can be read there too, but not changed. Over REST, POST /api/v1/trash/query lists Trash items and POST /api/v1/trash/read returns the same read-only view of a deleted record; over MCP, read_trash lists them and, with action: "read" and the record's typeId and recordId, opens one the same way.
What happens when I open a link to a deleted list or view?
A link to a list that is in Trash, for example a bookmark of a deleted Projects list, shows the list's name with In Trash, when it was deleted and how many days are left. If you can see the list in Trash, Restore appears there and brings the list back, and the page then shows it. Without that access, and for a list that does not exist or was deleted permanently, the link shows the page-not-found screen. A link to a saved view that no longer exists or is not yours opens the list's default view instead and drops the view from the address.
How do I delete something permanently?
In Trash, hover the row and click Delete permanently, or select several rows and click Delete permanently in the selection bar. The confirmation lists exactly what disappears, such as the number of records per list and links. Permanent deletion cannot be undone. It also erases the record's field values from its history; the history keeps only who changed it and when.
Members with the Admin role can remove everything they see in Trash at once with Empty trash in the More actions menu of Trash, shown only while Trash has items. To confirm, type empty trash.
How long do items stay in Trash?
30 days from the delete. Each row shows how many days are left; on the last day the item is deleted permanently without further notice, with the same effect on its history as deleting it permanently yourself. A self-hosted instance does this only when its daily scheduled job runs.
