Workspaces

One login, several isolated workspaces: create, switch, join and leave them, and how API keys, MCP connections, billing and the trial work per workspace.

A workspace is one company's CRM in Customermates. One login, your email address, can belong to several workspaces, much like being a member of several companies, and you switch between them in the app. Each workspace is fully separate from the others.

What is a workspace, and what does it keep separate?

A workspace is a separate CRM with its own lists and data model, records, Knowledge Base, members, roles, plan and billing, API keys, MCP connections (Claude, ChatGPT and any other connector), webhooks, routines, Mate chats and hosted AI credits. Nothing is shared or searchable across workspaces: search, Mate, MCP and the REST API always act inside one workspace, and an id from another workspace reads as not found.

What is the same in every workspace?

Your personal profile: first and last name, avatar, display language, formatting locale, theme and country. Changing it in Profile & preferences updates it in every workspace you belong to; a change made with an API key or an MCP connection applies only in the workspace of that key or connection. Your role, your status and your seat are set per workspace, so you can have the Admin role in one workspace and a restricted role in another. When a member with Edit on Users & Roles changes another member on Members, the change applies only in that workspace.

How do I create a workspace?

Open the workspace menu at the top of the sidebar and choose Create workspace. Enter a name of 1 to 80 characters and, on Customermates Cloud, agree to the Terms. Anyone signed in can create workspaces, whatever their role in the current one; the public demo does not offer it. On Customermates Cloud, one login can create up to 20 workspaces; contact support if you need more.

You get the built-in Admin role in the new workspace, and this browser session switches to it. It starts with the same lists as every new workspace (which record types a workspace starts with) and with none of the data of your other workspaces. The onboarding wizard opens for it without the profile step, because your profile already exists: the Knowledge Base, invite and AI steps remain. On Cloud, only the first workspace you create has a free trial; see Which workspace gets the free trial?.

How do I switch between workspaces?

The workspace menu at the top of the sidebar lists every workspace you belong to; choose one to switch to it. The command palette offers the same list under Switch workspace…. The choice applies to this browser session, so another browser or device can be in a different workspace at the same time. Other tabs of the same browser show "You switched workspaces in another tab" with Reload, so nothing is saved to the wrong workspace. The workspace you switched to is remembered as your last used one and opens at your next sign-in. While a workspace waits for your approval or your access to it is inactive, its page names the workspace, and the workspace menu still lists your other workspaces to switch to.

Workspaces under Account in Settings lists the same workspaces with your role, your status and the plan of each, with Switch for the others, Leave for the current one and Create workspace.

How do I rename a workspace?

Open General under Workspace in Settings and change the workspace name, 1 to 80 characters. Renaming needs Edit on the Company row of your role; the Admin role has it. A workspace without a name, because it was created before workspaces had names or the name was left empty in the onboarding wizard, shows as Workspace until someone renames it.

How do I join a workspace with my existing account?

Invitations work as for new people: a member shares the invitation link or sends it by email, see How do I invite people?. Open the link while you are signed in to Customermates: Join … shows who invited you, with Join workspace and Use another account. On Customermates Cloud, first tick the checkbox to agree to the Terms and confirm that you have read the DPA and the Privacy Policy, then click Join workspace. You join with the profile you already have and land on Waiting for Approval, which names the workspace, until someone with Edit on Users & Roles approves you on Members. Meanwhile the workspace menu switches back to your other workspaces, and Withdraw request takes the request back; to join later, ask again with an invitation link.

If you already belong to that workspace, the page offers Open workspace, which switches to it; if you were set to Inactive there, it says Your access is deactivated. If you left the workspace, were removed from it or withdrew your request, open an invitation link of that workspace again to ask to join: the page offers Join workspace again, and someone with Edit on Users & Roles has to approve the new request.

How do I leave a workspace?

Open General under Workspace in Settings and click Leave workspace, or click Leave on the current workspace in Workspaces. Leaving:

  • sets your status in that workspace to Inactive,
  • revokes your API keys and MCP connections for that workspace,
  • disconnects the channels you connected in it, such as mailboxes and LinkedIn accounts,
  • pauses your routines in it,
  • on Cloud, removes your seat from that workspace's billing.

Pages of that workspace still open in another tab or on another device stop saving and ask you to reload, which opens your last used workspace. Your account and your other workspaces stay untouched. The last active member with the Admin role cannot leave: both buttons are disabled, and pointing at one shows "You are the only admin of this workspace. Make another active member an admin before you leave." Make another active member an admin first. Customermates platform operators cannot leave a workspace. To come back, open an invitation link of the workspace and ask to join again; someone with Edit on Users & Roles has to approve the request. The app offers no way to delete a workspace.

What happens when someone removes me from a workspace?

A member with Edit on Users & Roles can remove you on Members, see How do I approve, edit, deactivate or remove a member?. For you it works like leaving: your API keys and MCP connections for that workspace stop working, the channels you connected in it are disconnected, and the workspace disappears from your workspace menu. You get an email that names the workspace and links to sign in. Pages of that workspace still open in a tab or on another device stop saving and ask you to reload, which opens your last used other workspace. If you were waiting for approval, the removal declines your request without an email. To come back, open an invitation link of the workspace and ask to join again; someone with Edit on Users & Roles has to approve the request.

Which workspace do API keys and MCP connections use?

An API key belongs to exactly one workspace: a key created in a workspace only ever acts in that workspace, with your role there. API keys lists and deletes only the keys of the current workspace, so switch to another workspace to see or delete its keys. Keys created before a login could belong to several workspaces stay bound to the workspace they were created in.

An MCP connection over OAuth, such as the Claude or ChatGPT connector, also gets exactly one workspace. Every workspace has its own MCP URL, shown with a copy button in API keys under Quick connections and in onboarding; a connection added with it gets that workspace, and the consent screen shows it without a choice. A connection added with <BASE_URL>/api/v1/mcp asks you to Choose a workspace on the consent screen if you belong to several: your current workspace is preselected, and you can pick another one where you are Active, your role has Read access All on API & Webhooks, the workspace has a usable plan and no updated terms are waiting for acceptance. Workspaces you cannot pick are greyed out with the reason. The connection, including the tokens it refreshes later, stays bound to that workspace. To work in several workspaces from one AI client, such as one Claude account, add one connector per workspace with that workspace's URL; see Connect with a custom connector.

Channels you connect in Channels, such as a mailbox or a LinkedIn account, belong to the workspace you connected them in.

How is each workspace billed, and how are seats counted?

On Customermates Cloud, each workspace has its own plan, subscription, invoices and hosted AI credit pool on Billing, managed by its members with Edit on Company; plan changes, invoices and cancelling are open only to the admin who pays for the workspace, see How do I cancel, change the payment method or get invoices?. A person who is Active in several workspaces is a billed seat in each of them; see How are seats counted and billed?.

Which workspace gets the free trial?

Only the first workspace a login creates gets the free trial of 7 days. Every additional workspace starts without a trial: its admin chooses a plan on the Choose a plan for … screen before the workspace can be used (the Workspaces list shows No plan until then), and until then its API keys and MCP connections are refused as well, see What happens when the trial ends?. Joining someone else's workspace neither uses up nor grants a trial.

How do workspaces work when you self-host?

When you run Customermates yourself, it holds any number of workspaces, with no billing and no trial: every workspace starts active. Any registered user can create additional workspaces, and the app offers no way to delete a workspace. See Who can sign up on my instance?.

For agents

Every MCP and REST call acts in exactly one workspace: the one the API key was created in or the OAuth connection was approved for. get_workspace_context returns that workspace as company (its id and name), and an id from another workspace answers not_found. No MCP tool or REST endpoint lists, creates, switches, renames or leaves workspaces; send the user to the workspace menu. To remove another member, use manage_team with remove_member or POST /api/v1/members/remove. To act in another workspace, the user connects a separate key or connection there.
