What SuiteCRM is and who it suits

SuiteCRM is an open-source CRM written in PHP and published under AGPL-3.0 by SuiteCRM Ltd. It started as a fork of the last open-source edition of SugarCRM and now ships two lines: SuiteCRM 7.15 and SuiteCRM 8.10, whose interface is rebuilt in Angular. Both are free to download and run on your own server.

The scope is wide. SuiteCRM's user guide covers leads, accounts, contacts and opportunities; quotes, invoices, contracts and PDF templates; campaigns, target lists, surveys and events; cases, a knowledge base and bug tracking; reports, scheduled reports and workflows; projects; calendar sync and maps. Administrators build custom fields and modules in Studio and Module Builder, set roles and security groups, and can connect single sign-on through Azure SAML. Developers get the API v8.

If you run sales, marketing and service in one system and have someone who maintains it, SuiteCRM covers more ground than Customermates does.

Why teams look for a SuiteCRM alternative

You pay for the work around the software. SuiteCRM charges no licence or per-user fee. Its pricing page instead lists the services you may need: fully managed hosting from £50 a month, Standard Support at £1,200 for 10 hours (required on managed hosting, 20% off when bought with it), SuiteASSURED from £3,350 a year, and a Quick Start implementation from £2,520. Self-hosted, the software is free and your own team runs updates and security.

Running PHP yourself. SuiteCRM 8.10 needs Linux, Unix or macOS with PHP 8.2 to 8.4, Apache 2.4, and MySQL 8.0 or 8.4 or MariaDB 10.6 to 11.8, according to the compatibility matrix. Each minor release moves those versions, so upgrades include server work. Customermates runs as two containers: the app and PostgreSQL 16.

Breadth you do not use. A small consultancy or agency often needs contacts, deals and conversations, not cases, surveys, contracts and campaigns. Every extra module is something to configure, hide or train people around.

Conversations outside email. SuiteCRM handles inbound and outbound email accounts, including Microsoft and Google OAuth. Its user guide lists no WhatsApp, LinkedIn, Instagram or Telegram integration, so those threads stay outside the CRM unless you add a third-party add-on.

What a five-person team pays

SuiteCRM prices are from SuiteCRM's pricing page, checked on 27 October 2026, in pounds sterling. Customermates bills monthly per user, in euros, with no minimum team size.

These rows buy different things:

• SuiteCRM's cost does not grow with seats. For a large team, hosting plus support can cost less than any per-user plan. For five people, compare the support hours you would really use.
• Customermates Starter is the core CRM without an inbox, with Mate on hosted AI credits and 1 routine per user.
• Customermates Pro is what the inbox costs. Each user connects 1 account, which can be a mailbox, LinkedIn, WhatsApp, Instagram or Telegram. Business includes 3 accounts per user and accounts shared with the team.

Self-hosted, both cores cost nothing in licence fees. You pay for the server and the time to run updates, backups and TLS.

Where Customermates fits

Customermates is an open-source, AI-native CRM for small client-facing teams: consultants, agencies, other service businesses and founders. It is built in Germany.

Client conversations next to the deal. From Pro, the unified inbox brings Gmail, Outlook and IMAP mailboxes, LinkedIn, WhatsApp, Instagram and Telegram into one list, and you reply on the original channel. Link a participant to a contact once, and the conversation is filed with that contact. Starter has no inbox.

AI that does the CRM work. In Customermates Cloud, Mate summarizes threads, drafts replies, updates records and builds views. It uses hosted AI credits, a monthly allowance per active user shown on the pricing page. Mate asks for a fresh approval before every deletion. Sending a message runs without one, so tell it to save drafts when you want to review first. Routines run a saved instruction on a schedule or when a record changes, always as their owner.

Your own AI client over MCP. The MCP server is included on every plan and on self-hosted installs, with a catalogue of 57 tools. Claude, ChatGPT and other clients connect with OAuth or an API key and act with the connected user's permissions. Model calls from your client run on your own AI provider.

Self-hosting without PHP. The self-hosted edition is the AGPL core with REST, webhooks and MCP, deployed with Docker Compose. It has no inbox, no Mate and no hosted credits.

Where the cloud runs. In Customermates Cloud, the primary database is configured in the AWS Frankfurt region, a DPA is available, and the subprocessors, including US providers, are listed on the legal pages. Customermates holds no compliance certification.

Where Customermates is the wrong choice

• No quotes, invoices, contracts or inventory.
• No cases, ticket queues or knowledge base for customers.
• No campaigns, target lists, mass email or sequences. Messages go one at a time, written by you or drafted by Mate.
• No single sign-on, no native mobile apps, no telephony. Saved views are personal, and permissions apply per list and action, not per field.
• Tasks have no built-in due date. Add a custom date field if you need one.

Moving from SuiteCRM

Most SuiteCRM sales data has a direct home. In Configure, you can name your lists "Accounts" and "Opportunities", so your team keeps its vocabulary.

Add a Stage single choice field to your opportunities with one option per SuiteCRM sales stage, and copy each stage's probability into the option's Probability %. The weighted value then multiplies each deal's value by its stage probability. It is arithmetic on your own numbers and does not predict anything.

1. Export from SuiteCRM

   Export each list you want to keep from its list view: accounts, contacts, leads and opportunities. Open the CSV files in Excel and save them as .xlsx.

2. Prepare the workspace

   Create or rename lists in Configure, add custom fields for the attributes you keep, and set the stage probabilities. In Customermates Cloud, AI setup can build the lists for you.

3. Import one list at a time

   Import organizations first, then contacts, then deals. Link columns match records by name, so a contact's account column finds the organization you imported before. The records documentation lists the limits.

4. Rebuild list filters as views

   Turn each saved SuiteCRM filter into a saved view. Views are personal, so each person saves their own.

5. Connect channels and AI

   On Pro or during the trial, connect a mailbox, LinkedIn or WhatsApp, then set up routines for Mate or connect your own AI client over MCP.
