B2B Lead Generation Strategies: From Interest to a Next Step
Choose B2B lead generation methods, qualify real demand and calculate your funnel. Includes a copyable worksheet and channel checks for small teams.

by Benjamin WagnerB2B lead generation strategies turn relevant business interest into identifiable contacts and agreed sales conversations. Start with a specific buyer problem, choose a channel you can service, and record the evidence before qualifying the next step. Customermates can hold that relationship context after acquisition.
What counts as a lead worth pursuing?
A lead is an identifiable person or business with a relevant signal of interest. A company on a target-account list is a prospect; a page view is anonymous traffic. Neither alone proves buying intent. An enquiry about implementation is stronger evidence than a download.
Choose one segment and one problem: for example, operations managers at small agencies who lose handover details between sales and delivery. Offer a handover checklist and a short review of their current process. Avoid a broad “book a demo” pitch before showing what the review will resolve.
Separate a marketing-qualified lead (fits the audience and shows relevant interest) from a sales-qualified lead (a conversation confirms a problem, plausible purchase path and agreed next step). Write your own exit criteria using the client qualification guide. A score cannot replace the buyer's answer.
Which methods should a small B2B team choose?
Run one primary acquisition method and one supporting method until you can explain the conversion losses. These are starting choices, not performance benchmarks.
| Method | Useful when | First practical action | Evidence to record | Constraint |
|---|---|---|---|---|
| Search content | Buyers already search for a problem | Publish a worked solution and offer a relevant review | Page named by the enquirer and their question | Rankings and traffic do not guarantee enquiries |
| Referrals and partners | Trust matters and your network overlaps the segment | Ask a partner for a permission-based introduction around a named problem | Introduction and buyer's response | An introduction is not blanket marketing consent |
| Workshop or webinar | Buyers need to understand a complex change | Teach one task and invite a separate discovery conversation | Attendance plus explicit request | Registration is not automatic newsletter permission |
| LinkedIn participation | Buyers discuss the issue publicly | Answer a real question with a concrete example | Voluntary conversation and expressed need | Follow platform rules; avoid bulk extraction and repetitive unsolicited messages |
| Search advertising | A specific purchase-intent query exists | Test one offer with an explicit spend ceiling | Enquiry, campaign and qualified outcome | Clicks cost money even when the buyer is unsuitable |
| Direct outreach | Named accounts have a demonstrable problem | Check country, channel and recipient eligibility before a relevant individual approach | Source, permission review and reply | A public address alone does not establish permission |
For a two-person consultancy, a useful first experiment is a partner workshop supported by one search article answering the same problem. Use external landing-page, registration or advertising tools where needed. The CRM becomes the record of what happened; it does not create demand on its own.
How do acquisition, records and qualification connect?
- Acquire: publish the guide or arrange the introduction. State what the person will receive and keep optional marketing separate from the immediate request.
- Record: check for an existing person and organization, then save the real source, enquiry date and buyer's own words. Do not create duplicate leads for repeat conversations.
- Qualify: ask what is failing, what the consequence is, who participates in the decision and when a change could happen. Leave unknowns unknown.
- Agree: name one next action, its owner and the date actually agreed. If there is no fit, close with a reason. If timing is later, agree when and how to reconnect.
Copy this operational worksheet into a spreadsheet or configured CRM list. The filled row is fictional. The blank row is ready to reuse.
| Person / company | Source and real enquiry date | Problem evidence | Channel permission review | Qualification / missing fact | Next step | Owner / agreed date | Outcome |
|---|---|---|---|---|---|---|---|
| Example buyer / Agency A | Partner introduction, 2026-11-06 | “Sales notes disappear at handover” | Reply requested; review before any marketing | Fits segment; decision process unknown | Review one anonymized handover together | Alex / 2026-11-10 | Discovery agreed |
| To fill | To fill | Buyer's words | Check country, channel, notice and objections | Confirm or leave unknown | One concrete action | Name / real date | To fill |
In Customermates, configure ordinary lists and relationships for people, companies and opportunities as needed. Add Source, Next step, Owner, Follow-up date and Qualification as ordinary fields; dates and statuses are workspace configuration, not built-in task behavior. The record and list documentation explains the model. Record a source to retain provenance, never to certify legal permission.
Use the unified inbox for supported connected conversations within your plan and sharing permissions. Customermates does not provide contact scraping, enrichment, embeddable capture forms or a native campaign or sequence engine. Acquisition and campaigns need their own tools and checks. If Mate helps write the follow-up, explicitly ask it to save a draft for review. That instruction is a workflow choice: email and chat sends execute immediately, without a mandatory send-approval step.
How many leads does the funnel need?
Assume a two-person service team wants three new clients from one completed cohort. Its planning assumptions are 50% enquiry-to-qualified, 50% qualified-to-proposal and 25% proposal-to-win. These are invented teaching numbers, not industry averages or Customermates results.
| Stage | Calculation | Required volume |
|---|---|---|
| Wins | Goal | 3 |
| Proposals | 3 ÷ 0.25 | 12 |
| Qualified conversations | 12 ÷ 0.50 | 24 |
| Enquiries | 24 ÷ 0.50 | 48 |
Overall conversion is 0.50 × 0.50 × 0.25 = 6.25%; 48 × 6.25% = 3 expected wins. Actual outcomes vary, and a long sales cycle means this month's enquiries may not close this month.
At 15 minutes to triage each enquiry, 48 enquiries take 12 hours. At 45 minutes per qualified conversation, 24 take 18 hours. Twelve proposals at 90 minutes take another 18 hours: 48 hours before acquisition, administration and delivery. If the team cannot reserve that time, improve the offer or qualification before buying more traffic.
With an illustrative acquisition spend of €960, cost per enquiry is €20 and cost per qualified conversation is €40. Spend divided by three wins is €320, excluding staff time and other costs; do not call it fully loaded customer acquisition cost. Track each source separately and compare mature cohorts. The sales pipeline guide helps separate named opportunities from funnel conversion totals.
What must be checked before contacting someone?
Checked on 2026-11-06. The FTC's CAN-SPAM guidance applies to US commercial B2B email too. It requires truthful sender and subject information, advertising identification, a valid postal address and an opt-out, with opt-outs honored within ten business days. It is not a worldwide permission rule.
Germany's section 7 UWG generally requires prior express consent for advertising by electronic mail, subject to a narrow existing-customer exception. France's CNIL guidance for professional prospecting allows a different B2B approach where the solicitation relates to the recipient's profession, with information and a simple objection route. Check applicable country and channel rules before sending. A download, public profile, purchased list or CRM source field settles none of those questions by itself.
Keep objections available to the people and tools preparing contact. Stop marketing to someone who objects; do not re-add them through another import. A platform connection is also not permission to scrape or automate campaigns.
What should the weekly review change?
Review source, qualified conversations, next steps and reasons for rejection together. Many enquiries with little fit suggest an audience or offer problem. Qualified conversations without proposals suggest an unresolved decision path. Proposals without wins call for a review of value, risk and buying conditions. Fix the earliest evidenced bottleneck and compare the next mature cohort using the same definitions.
Frequently asked questions
What is the best B2B lead generation strategy?
Choose the method that reaches your specific buyer and that your team can follow through. Referrals suit trust-heavy purchases; search content suits an existing search problem. Compare qualified outcomes and time spent, rather than choosing by raw lead count.
Are lead generation and sales the same thing?
Lead generation creates identifiable interest. Qualification checks whether a sales conversation is useful; sales then works toward a buying decision. Agree the handover evidence before increasing volume.
Can a small team generate leads without paid ads?
Yes, through useful search content, partner introductions and focused events. These methods still consume staff time. Include preparation and follow-up hours when comparing them with paid acquisition.
Does Customermates find leads and run outreach sequences?
It holds configurable records and supported conversations. It does not scrape contact lists or provide a native outreach sequence engine. Use it to preserve context and coordinate the qualified next step after acquisition.
