You see every lead on a kanban board, from first contact through consultation, engagement letter, and active representation.

A saved view of inquiries sorted by last update shows who is still waiting for an answer. On Customermates Cloud, a routine can run that check for you: every morning, the Mate assistant lists inquiries without a reply and drafts a response for you to review.

Matter tracking

Track each matter as a deal. Link multiple matters to the same client over time and see the complete relationship history. Typed custom fields let you record practice area, matter type, jurisdiction, court, opposing counsel, and key dates as date fields.

Customermates has no due dates, reminders, or deadline alerts. Use tasks as a record-linked checklist of next steps, and keep statute of limitations and filing deadlines in your calendar or docketing system.

Billing stays in your billing tool

Customermates does not track time or create invoices. You can record a fee arrangement or billing status in custom fields and read deal data through the REST API, while your accounting or practice management tool creates and stores invoices. A separately operated n8n workflow can pass data between the two.

Referral tracking and network management

Referrals are the lifeblood of solo practice. Record who referred each client on the matter, then group or filter matters by referral source to see who sends work, using contact management.

Create custom fields for referral source, referral date, and reciprocity status. A saved view of referral sources sorted by a "Last thanked" date field shows who you should get back to.

Unified inbox

On Pro and above, the unified inbox brings email (Gmail, Outlook, IMAP), LinkedIn, WhatsApp, Instagram, and Telegram conversations into Customermates, where you link each one to the client. SMS and phone calls are not channels, and the inbox is not available self-hosted.

As a solo lawyer, you handle everything yourself. Customermates has no built-in workflow builder, but it offers webhooks, a REST API, and a community node for n8n, which you operate separately. With your own n8n workflow you can, for example:

AI agents that operate your legal CRM

External AI clients such as Claude or ChatGPT connect through MCP with 50 tools, so an AI agent can read and write your CRM directly. It does the data entry, such as opening matters, updating intake stages, and logging referral notes, and can draft follow-up correspondence, summarize a client's history, or list which referral sources sent the most matters. You choose and pay for the AI client. On Customermates Cloud, the built-in Mate assistant works inside the app, drafts replies in the unified inbox on Pro, and asks for your confirmation before it sends a message or deletes anything. The deal stage is one configurable column, so you set the stages from initial inquiry to consultation, engagement, active work, and resolution, and drag matters between them. To keep intake and business development apart, add a single-select field such as "Track" and save a view for each.

Notes, matters, linked conversations, and activity are recorded against the client. When a client calls, you see their history immediately, and when you consider a new matter, you can search your records for conflicts.

The self-hosted version has the Starter feature set, without the unified inbox or Mate, and you own backups and updates.

Data protection

Client confidentiality and data protection are non-negotiable for lawyers. In the managed cloud, the application database runs in the AWS Frankfurt region; hosting and other subprocessors, including US providers, are listed on the subprocessors page, and a DPA is available. Customermates holds no certification. If you need full control over where data lives, self-host the open-source core.

Setting up Customermates for your legal practice:

1. Create your account: no credit card required. The first 7 days are free.
2. Bring in your records: import contacts and matters from an Excel workbook (XLSX), one record type at a time, use the REST API, or let an AI client connected over MCP create them. There is no CSV import.
3. Set up your stages: name the deal stages for intake and active matters to match your workflow.
